Laserfiche Records Management Edition is a version of Laserfiche that contains a DoD 5015.2-certified records management module, enabling you to track the life cycle of records in your Laserfiche repository and comply with demanding regulatory requirements.

Records Management Edition (RME) helps your organization balance the legal implications of content management with how you use the content. Laserfiche RME simplifies the formal management of large volumes of content by automatically applying retention schedules and final disposition based on preconfigured business rules. Because RME is DoD 5015.2–certified, the lifecycle management, security and transparency the system provides will form the foundation of an information management strategy that complies with Sarbanes-Oxley, HIPAA, USA PATRIOT Act, SEC, FINRA, or other regulations.

Manage Records Electronically

Laserfiche RME provides the ability to design a hierarchical file plan that organizes content based on a combination of business use and retention schedule, enabling you to generate reports, process large groups of records simultaneously, and show that content has been managed according to the rules governing your business practices. All content in the system can be formally managed from the point of capture or as part of a well defined lifecycle, including imaged documents, business documents (e.g., Microsoft Office, etc.), audio and video files, output from legacy systems and physical records stored offsite.

Transparent Records Management

Because Laserfiche keeps records management properties (record series, cutoff rules, retention schedule, disposition) separate from user-defined indexing schemas, applying records management doesn’t make your content management system any less efficient or cost-effective. To further insulate non-records managers from content classification issues and records management file plan complexities, Laserfiche has pioneered an approach called Transparent Records Management (TRM). TRM automates the classification of content, regardless of how it’s captured or where in its lifecycle it becomes a record, to eliminate the most costly component of a records management application. Additionally, Laserfiche provides the ability to create separate views of the repository for each business unit, providing access to content in the context of their business practices.

Laserfiche Records Management Edition leverages the full force of Laserfiche capture, distribution and workflow solutions to provide complete document lifecycle management alongside mission-critical records functionality.

Basic Functionality

Translating Published Retention Schedules

  • Define cutoff instructions based on when records should be eligible for cutoff.
  • Establish retention schedules based on how long a record should be retained after it is eligible for cutoff and what type of disposition it should have.
  • Define locations for accessions and interim transfers, which enable you to track your records when they are outside of Laserfiche.
  • Create custom cycles for time-based cutoffs and vital records review.
  • Create alternate retention schedules that will only take effect if a specified event occurs.

Applying Records Management Settings to Records

  • Track the lifecycle of your records by creating and maintaining a hierarchical folder structure compromised of record series, record folders, and records.
  • File records without assigning settings to each individual record, because all records management settings assigned to record series and record folders are inherited by their children.
  • Assign a review cycle to vital records that must be manually reviewed according to a specified schedule.
  • Distinguish between documents in your repository whose lifecycle should be tracked and those that should not.

Manage Records

  • Manually close records to prevent them from being modified until eligible for cutoff.
  • Freeze records temporarily at a lifecycle stage when legal holds are placed on them.
  • Easily re-file records by moving them from one record folder to another.
  • Maintain metadata associated with records even after they are destroyed or accessioned, to prove adherence to records compliance regulations.
  • Generate reports to quickly identify and collect all records that require action based on record status, eligibility, and lifecycle stage.
  • E-mail records management search results to users outside Laserfiche.

Interoperability

  • Manage records in the same repository side-by-side with non-records, enabling authorized users to access any content in your repository, while the records manager tracks record lifecycle to maintain compliance.
  • Automate the organization of a single repository to meet the needs of two different audiences, users of a content repository and records managers, through Laserfiche Transparent Records Management.
  • Integrate seamlessly with other Laserfiche products, such as Workflow for automated routing, Quick Fields for batch importing, and Web clients for online access.
  • Use the Laserfiche Toolkit to create custom integrations and interfaces with third-party applications to automate or streamline records management tasks.
